2. What this policy covers
This policy explains how we use personal data when someone visits the website, submits a trade or supplier enquiry, applies for a business account, requests a quotation, corresponds with us, or becomes a business customer or supplier. Our website and services are directed at business users.
3. Personal data we collect
Depending on the interaction, we may collect:
- name, job title and business name;
- business email address and telephone number;
- business type, purchasing requirements and product interests;
- enquiry and correspondence contents;
- trade-account, quotation, order, delivery and invoice information;
- information reasonably required to verify a business or adult trade representative;
- supplier, compliance and product-documentation information; and
- technical information generated by hosting and security services, such as IP address, browser type, requested pages, timestamps and server logs.
Please do not submit payment-card details, identity documents, facial images, biometric templates, health information or other sensitive personal data through the enquiry form.

- Trade-account assessment: legitimate interests in assessing business suitability, preventing fraud and managing commercial risk.

Submitting an enquiry does not add the sender to a marketing list. If we introduce marketing updates, we will provide a separate clear choice and comply with UK GDPR and PECR requirements.
5. Product-specific enquiries
Vape hardware
Vape-hardware enquiries are accepted only from adult business representatives. We may request proportionate information to verify age, business status and intended trade channel. The website is not directed at children or consumers seeking age-restricted products.
AI and facial-recognition products
An enquiry about AI, smart-security or facial-recognition equipment does not require biometric data. FAZBS does not operate facial recognition on this website and does not use enquiry information to identify people through biometric recognition. Do not send facial images, biometric templates or identifiable surveillance footage through the website. Any later project involving biometric processing would require separate written assessment, contract and data-protection arrangements.
6. Contact-form provider and sharing
The enquiry form is relayed to our business mailbox using FormSubmit, which processes submitted fields on our behalf. The form uses anti-spam measures, including CAPTCHA and a hidden honeypot field. FormSubmit states that it may retain form submissions for up to 30 days. See its privacy information.
We may share personal data where reasonably necessary with website hosting, security, email and form-processing providers; payment, delivery, freight, customs or fulfilment providers where an enquiry becomes an order; product manufacturers or suppliers where necessary to answer a specific enquiry; professional advisers; and courts, regulators, law-enforcement bodies or public authorities where disclosure is required or permitted. We do not sell personal data.
7. International transfers
Some service providers may process data outside the United Kingdom. Where UK adequacy regulations do not apply, we use a safeguard recognised under UK law, such as the UK International Data Transfer Agreement or UK Addendum to approved standard contractual clauses, together with any required transfer-risk assessment.
8. Retention
- Enquiries that do not become orders are normally deleted or anonymised within 24 months of the last meaningful contact.
- Unsuccessful trade-account information is normally retained for no more than 12 months, unless fraud-prevention or legal reasons justify longer.
- Order, invoice, transaction and material compliance records are normally retained for six years after the relevant relationship or transaction ends.
- Routine website security logs are normally retained for no more than 90 days, unless an incident requires longer preservation.
- FormSubmit may temporarily retain submissions for up to 30 days.
Information may be kept longer where required by law or reasonably necessary for a dispute, recall, regulatory investigation or legal claim.

We do not use website enquiry data for solely automated decisions that produce legal or similarly significant effects. Trade-account decisions may use structured checks, but material decisions are subject to human review.
